The role:

Responsible for supporting the Digital, CRM and E- Commerce Director and wider Team with a variety of PA and administrative duties, as well as coordinating internal events.

 

What you’ll do:

SUPPORT WITH GENERAL ADMINISTRATION

  • Support with inbox management, including monitoring, responding and filing emails.
  • Manage the diary organisation, ensuring that the electronic calendars are up to date, read, monitored and if required respond/ accept appointments.
  • Management and organisation of the Director’s physical and electronic files.
  • Act as the key liaison with all internal departments on projects, tasks, communications, administration and queries.
  • Liaise with external contacts on behalf of the Director.
  • Complete visa and cash expenses on behalf of the Director.
  • Support with note taking or letter writing when required.
  • Provide ad-hoc private assistance to the Director.

 

SUPPORT WITH BUSINESS DOCUMENTS AND PRESENTATIONS

  • Have an up-to-date awareness of Company Vision and objectives in order to understand key leadership priorities for the Director and effectively support with workload and responsibilities.
  • Work with the Director on bespoke projects requiring collation of specific reports, presentations and information.
  • Collate and edit large format presentations on behalf of the Director and direct teams.
  • Support with the preparation PowerPoint presentations for Internal and External meetings.
  • Monitor the delivery of monthly GM report and ad-hoc reports or information. from all internal departments in a timely manner, and file the reports accordingly.

 

SUPPORT WITH EVENT AND TRAVEL ORGANISATION

  • Coordinate all travel and accommodation requirements as needed by the Director.
  • Plan detailed and extensive itineraries and agendas for events, field visits, activities, conferences and external meetings.
  • Support with general hosting duties such as sourcing and serving refreshments, ensuring a welcoming environment for all guests.
  • Organise internal and external meetings, events, dinners, lunches, incentive evenings etc.
  • Work with the other Director’s PAs on joint projects including event venue sourcing, internal catering for meetings, diary liaison, room bookings, sharing information etc.
  • Work with the EA to the Managing Director on planning logistics and any ad-hoc requirements.

SUPPORT WITH DAY-TO-DAT TEAM MANAGEMENT

  • Update the Director on any relevant news from her direct reports.
  • Liaise with members of the Global team to request and divulge information as required by the Director.
  • Update and track the Director’s direct report holiday requests and sickness notifications.

You are:

  • Confident and comfortable when dealing with people at all levels with a clear understanding of the importance of confidentiality.
  • Able to work well under pressure within a busy, fast-paced working environment
  • Advanced level Microsoft Word, Excel and PowerPoint.
  • Self-starter with proactive approach to managing own and Director’s work.
  • Highly organised, able to multi-task and adapt to last-minute or shifting priorities.

 

You have:

  • Substantial prior experience in a fast-paced PA role.
  • Excellent communication and presentation skills across all forms - telephone, written and interpersonal.
  • Outstanding relationship building skills at all levels, internally and externally and a real team player.
  • Excellent attention to detail with the ability to prioritise workloads to meet tight deadlines.
  • An understanding of the UK retail and/or cosmetics landscape would be highly desirable.
